1. Who we are
This website, visiconnex.com, is operated by Visi Connex Ltd (“Visi Connex”, “we”, “us”), Unit 19, Woodbine Business Park, New Ross, Co. Wexford, Y34 DH26, Ireland. Visi Connex is the data controller for the personal data described in this policy.
If you have any question about this policy or how we handle your personal data, contact Derek Ronan at derek@visiconnex.com or call 051 440 330.
2. What this policy covers
This policy explains how we use personal data collected through this website: when you contact us, request a quote, use our live chat, or simply browse the site. It does not describe how we handle information in the course of providing CCTV monitoring or alarm services to our customers, which is governed by our agreements with those customers.
3. What personal data we collect, why, and on what legal basis
Contact form (“Contact Us”). If you use the contact form we collect your name, email address, phone number, the subject and the content of your message. We use this to reply to your enquiry and to take steps you ask for before entering into a contract. Legal basis: our legitimate interests in responding to enquiries about our services, and, where you ask us to take steps before a contract, Article 6(1)(b) GDPR. The form submission is stored in our website database and sent to us by email; you also receive an automatic confirmation email.
Quote request form. If you request a quote we collect your name and phone number so we can call you back. Legal basis: as above.
Live chat. Our website uses a live chat widget provided by Tawk.to. The chat widget is loaded through Google Tag Manager, so it is loaded when you accept analytics cookies. If chat is enabled through your cookie choices, Tawk.to processes your chat messages, an identifier for your visit and technical information such as your IP address and browser, so that we can reply to you. Legal basis: your consent to the related cookies, and our legitimate interests in answering your questions.
Analytics and advertising measurement. With your consent, we use Google Analytics and Google Tag Manager to understand how the site is used (for example pages visited, approximate location, device type and how you arrived at the site). If you consent to marketing cookies, tools such as Google and Meta advertising cookies may also be used to measure or personalise advertising. Legal basis: your consent. You can withdraw it at any time (see section 5).
Cookie-free site statistics (Ahrefs Web Analytics). We also use Ahrefs Web Analytics, a cookie-free tool that measures visits to the site. It does not set cookies or store your IP address; visit counts are based on a daily-changing hash that cannot be used to identify you over time or across websites. It records the pages visited, referrer, browser type, language and approximate location (country or city level). Legal basis: our legitimate interest in understanding and improving our website.
Maps and embedded content. The contact page shows a Google Map. It only loads after you consent to the relevant cookies, and Google may then receive your IP address and other technical data.
Server and security logs. Our hosting provider and security tools keep technical logs (such as IP address, date and time, pages requested) to keep the website secure and running. Legal basis: our legitimate interest in the security and stability of the website.
Cookie consent records. When you accept, reject or change your cookie choices, we store a record of your choice (a random consent ID, your choices, the date, the page and a hashed, non-reversible form of your IP address and browser details) so we can show that we respected your choice. Legal basis: our legal obligation to be able to demonstrate consent (Article 7(1) GDPR) and our legitimate interests.
4. Who we share personal data with
We share personal data only where needed with service providers who process it on our behalf or for the purposes above, including: our website hosting and security provider (SiteGround); our email delivery provider (SMTP2GO); Google (Analytics, Tag Manager and Maps); Ahrefs (site statistics); Tawk.to (live chat); and, if advertising cookies are enabled, Meta. We do not sell your personal data.
5. Cookies and your choices
We use cookies and similar technologies. Non-essential cookies are set only after you opt in using our cookie banner. You can change or withdraw your choice at any time using the cookie settings button on the site. Full details of each cookie are in our Cookie Policy.
6. Transfers outside the EEA
Some of the providers listed above, such as Google, Tawk.to and Meta, may process data outside the European Economic Area, including in the United States. Where this happens we rely on an appropriate safeguard under GDPR, such as an adequacy decision (for example the EU-US Data Privacy Framework) or Standard Contractual Clauses.
7. How long we keep your data
We keep personal data only for as long as necessary for the purpose it was collected. Enquiries sent through our website forms are kept for up to 10 years from the date of submission, so that we can refer back to our correspondence and to any resulting contract or service, and deal with any claims. After that they are deleted or anonymised. You can ask us to delete your enquiry earlier (see section 8). Analytics data is kept according to the retention setting of our analytics account. Cookie consent records are kept for 12 months. Cookies themselves last for the periods listed in our Cookie Policy.
8. Your rights
Under data protection law you have the right to request access to your personal data, to have it corrected or erased, to restrict or object to our processing, and to receive your data in a portable format. Where we rely on your consent you can withdraw it at any time without affecting the lawfulness of earlier processing. To exercise a right, email derek@visiconnex.com. We will respond within one month.
9. Complaints
If you are unhappy with how we handle your personal data you can complain to the Irish Data Protection Commission, 21 Fitzwilliam Square South, Dublin 2, D02 RD28, Ireland (www.dataprotection.ie). We would appreciate the chance to resolve your concern first.
10. Changes to this policy
We may update this policy from time to time. The date of the latest version is shown at the top of the page.
